Referral and Termination Policy for Compass Retreats

Purpose: The Referral and Termination Policy outlines the procedures for referring participants to additional support services and the conditions under which a participant’s involvement in Compass Retreats may be terminated. This policy aims to ensure that all participants receive appropriate care tailored to their needs while upholding the integrity and safety of the program.

Scope: This policy applies to all participants enrolled in Compass Retreats, as well as clinicians and staff involved in their care.

1. Referral Policy

Definition of Referral: A referral is the process of directing participants to additional services or supports that may better address their needs, particularly when those needs exceed the scope of what Compass Retreats can provide.

1.1 Circumstances for Referral

Participants may be referred to additional services under the following circumstances:

Emerging Needs: If a participant requires specialised support beyond the standard offerings of the program, including but not limited to severe mental health conditions or complex medical issues.

Lack of Progress: If a participant is not making sufficient progress toward their goals, additional therapeutic support may be deemed necessary.

Crisis Situations: In cases of acute distress that require immediate or intensive intervention, participants will be referred to appropriate crisis support services.

1.2 Referral Process

Assessment and Discussion: The clinician will assess the participant's needs and discuss referral options during scheduled sessions, allowing participants to express their preferences.

Referral Documentation: Clinicians will document the referral process, including the rationale for the referral and any relevant participant information.

Support in Transition: Clinicians will assist participants in transitioning to referred services, providing necessary contact information and recommendations for specialists or agencies.

2. Termination Policy

Definition of Termination: Termination refers to the process of concluding a participant’s involvement in Compass Retreats. This may occur voluntarily by the participant or involuntarily when deemed necessary by the program.

2.1 Conditions for Termination

Participants may be terminated from the program under the following conditions:

Voluntary Termination: A participant may choose to withdraw from the program at any time, for any reason. A discussion with the clinician is encouraged to facilitate a smooth transition.

Mutual Agreement: Termination may occur when both the participant and clinician agree that remaining in the program is no longer beneficial or appropriate for the participant's needs.

Involuntary Termination: The program may terminate a participant’s involvement for reasons such as:

Violation of Code of Conduct: If a participant engages in behaviour that undermines the safety or integrity of the program or its participants.

Health and Safety Concerns: If a participant's health or behaviour poses a risk to themselves or others.

Non-Compliance: Repeated failure to adhere to program policies and procedures, including attendance and participation requirements.

2.2 Termination Process

Discussion: In cases of involuntary termination, the clinician will meet with the participant to discuss the reasons for termination and to ensure that the participant understands the decision.

Documentation: A formal termination notice will be documented, detailing the reasons for termination and any relevant information discussed during the meeting.

Transition Support: Clinicians will provide information and referrals for alternative support options, resources, or services to assist the participant in transitioning after termination. 

3. Review and Appeal

Participants who disagree with a termination decision may formally appeal by submitting a written request for review to the program coordinator. The appeal will be evaluated, and a response will be provided within a specified time frame (e.g., 14 days).

4. Review of the Policy

This Referral and Termination Policy will be reviewed annually to ensure alignment with best practices, legal requirements, and the evolving needs of participants. Any revisions will be communicated to staff and participants accordingly.
